Terms & Conditions

1. Definitions

  1. The Client means the individual, company, or organisation making a booking or hiring equipment or entertainment services from Greenfrog Entertainments Ltd (“The Company”).
  2. The Company refers to Greenfrog Entertainments Ltd and its trading names, including Greenfrog Entertainments, Greenfrog Events, and Greenfrog Event Hire.
  3. Wet Hire refers to equipment or services hired where The Company operates and supervises the equipment or entertainment on behalf of the Client.
  4. Dry Hire refers to equipment or services hired where the Client operates and supervises the equipment themselves without The Company’s staff.

2. Ordering

  1. By placing a booking or order with The Company—whether online, by phone, email, or other means—the Client agrees to be bound by these Terms & Conditions and enters into a contract with The Company.
  2. All equipment remains the property of The Company at all times.
  3. Online booking availability reflects stock on the requested date but does not guarantee specific delivery times. The Company will notify the Client promptly if the order or requested timing cannot be fulfilled.
  4. All bookings are subject to availability on the hire date and may be affected by factors such as equipment breakdown or stock rotation. The Company reserves the right to substitute booked items or services with alternatives of similar quality and value, informing the Client as soon as possible.
  5. Clients must review and understand all relevant health and safety documentation from The Company and their venue before booking. Copies of insurance certificates, risk assessments, disclaimers, and testing records are available online or on request.

3. Delivery and Collection

  1. Standard delivery is scheduled between 8:00 am and 12:00 pm, with collection between 5:00 pm and 9:00 pm. Specific timings cannot be guaranteed except for clients hiring a venue, who may specify times aligning with their venue booking. Other clients may request preferred timings, noted in booking details, subject to availability.
  2. For hires requiring collection beyond standard times, an overnight hire option is available at an additional cost. Availability is limited and must be booked alongside the initial order. Overnight hire areas must be secure and lockable.
  3. The Company’s delivery team will set up and inspect all equipment on site. Upon completion, the Client or their representative must sign the terms of hire to confirm acceptance of equipment condition and setup.
  4. By signing, the Client acknowledges satisfaction with the equipment’s condition and location. Any damage, loss, or theft occurring after signing—including overnight—will be the Client’s financial responsibility.
  5. If the Client has any concerns about the equipment or service, they must notify the delivery team before signing. Signing indicates full acceptance, and subsequent claims or refund requests will not be considered.
  6. Clients must ensure adequate access for equipment delivery and setup. Some large inflatables require at least a 1-meter access point or vehicle access onto the installation site.
  7. Clients may not refuse equipment collection for any reason. Equipment remains the Client’s responsibility from delivery until collection. Delays in collection do not relieve the Client of responsibility or potential charges.
  8. Delivery teams operate on tight schedules and require immediate access to set up equipment. Delays caused by the Client may incur charges of £10 per 10 minutes or refusal of delivery without refund.
  9. Due to overnight hires, equipment may be collected and redelivered in a wet or dirty state. Clients should allow at least two hours before the event to accommodate drying or cleaning if necessary.

4. Delays and Breakdowns

  1. Delivery and collection times are approximate. The Company will endeavour to meet scheduled slots but cannot accept liability for delays caused by circumstances beyond its control, including traffic, vehicle breakdowns, or earlier delivery delays. Clients are advised to allow at least two hours’ flexibility around scheduled times.
  2. If equipment breaks down before or during the event and cannot be replaced or repaired promptly, The Company’s liability is limited to a pro-rata refund for the affected item based on the unusable period. Refunds apply only to the specific item and not the entire booking. Generator failure refunds apply only to the generator cost, not powered equipment. The Company recommends booking backup generators where possible.
  3. All faults or breakdowns must be reported immediately by phone. Equipment should not be used once a fault is discovered until The Company confirms it is safe. The Company will attempt to repair or replace equipment within two hours where possible. Any fee reductions are at The Company’s discretion and proportionate to downtime.

5. Equipment and Ownership

  1. Equipment sizes and specifications are approximate and given to the best of The Company’s knowledge.
  2. All equipment remains the property of The Company throughout the hire period.
  3. The Company may amend product specifications without prior notice.
  4. The Company reserves the right to substitute booked equipment or services with alternatives of similar value without prior notice if the original item is damaged, stolen, or double booked.
  5. The Company may use photographs of equipment for marketing purposes without seeking permission, regardless of who took the image or where it appears.
  6. Some equipment is hired from third parties and not owned directly by The Company.

6. Location

  1. The space required to safely operate equipment may exceed the equipment’s physical dimensions. Clients must confirm sufficient space and appropriate surface conditions before booking. Details are available online or on request.
  2. If, upon delivery, the venue or surface is unsuitable, the equipment will not be set up. Full charges will apply, including cases where the Client failed to inform The Company of relevant access or site issues (e.g., stairs, obstructions, excessive distance over 50m).
  3. Equipment will be set up in a single agreed location and must not be moved once installed. Relocation attempts by the Client may cause safety risks, injury, or damage.
  4. The Client is responsible for ensuring adequate security and crowd control during the event.
  5. Clients must inform delivery teams of any underground services present at the site before delivery. Many items are secured with metal pegs up to 500mm long. The Company is not liable for damage to underground services.
  6. While delivery staff take care moving equipment through properties, The Company is not liable for any damage caused during this process. Repair or replacement is the Client’s responsibility.

7. Power Requirements

  1. Most equipment requires power to operate, typically supplied via standard household plugs.
  2. The number of power sockets needed depends on the hired equipment and quantities.
  3. The Company provides extension leads (normally 25m); 50m leads are available with advance notice. Beyond 50m, a generator is required.

8. Generators

  1. Generators hired on a dry hire basis must be refuelled regularly during the hire. The Client must ensure a competent person monitors fuel levels and refuels as necessary, not allowing fuel to drop below 25% of tank capacity.
  2. The Company strongly recommends booking backup generators to avoid power interruptions.
  3. Equipment requires 16-amp plugs. The Client must ensure sufficient 16-amp sockets and compatible connectors for all equipment powered by generators.

9. Health and Safety & Supervision

  1. Clients must review and understand all health and safety documentation from The Company and the venue before booking. Any new restrictions imposed after booking, which were not disclosed at booking and agreed in writing, will not justify cancellations without fees.
  2. All policy and insurance documents are available online but may be updated to remain valid for your event date.
  3. Appropriate clothing, including socks and covering exposed skin, is required to prevent injuries such as friction burns. Inflatables can become hot during warm weather and must not be used if excessively heated.
  4. No liquids or objects are allowed on equipment or inflatables.
  5. Equipment must always be supervised by at least one responsible adult over 18. Larger events or equipment may require additional supervision at entrances/exits. The Company can provide staff at extra cost if required and available.
  6. Staff hired are solely for equipment operation and safety supervision, not for child minding or property watching.
  7. Not all items are available for dry hire; some require Company staff on site, indicated by “inc staff” in the product title.
  8. The Company reserves the right to cease operation or remove equipment if guest behaviour endangers safety. No refunds will be given in such cases.

10. Liability and Insurance

  1. The Company holds £5 million public liability insurance covering equipment only, not users. The Client must ensure adequate insurance covers users and the public.
  2. The Client agrees to indemnify The Company against damage, theft, or loss of equipment during hire, as insurance does not cover hired equipment.
  3. The Client agrees to indemnify The Company against any property damage claims.
  4. The Client agrees to indemnify The Company against claims arising from accidents or injuries involving equipment users.

11. Weather

  1. The Company will attend all bookings, unless severe weather conditions like snow fall, severe downpours or high winds.
  2. Refunds will be offered if The Company cancel due to severe weather conditions.
  3. Inflatables must not be used in wind speeds exceeding 24 mph (or lower for specific units) to comply with EU safety laws and minimise risk.
  4. Equipment must not be used during rain. Clients must wait for dry conditions and ensure equipment is dry before resuming use.

12. Deposits / Booking Fees

  1. All online bookings require a non-refundable deposit equal to 15% of the total hire cost.
  2. Deposits and any other payments are lost upon cancellation.

13. Payments & Outstanding Balances

  1. Quotes are valid for 14 days. After expiry, prices may change and require a new quote.
  2. Remaining balances may be paid in cash on delivery or in advance. Payment terms must be agreed with delivery teams.
  3. The Company does not offer credit facilities; all balances must be settled before or on the event date.
  4. Prices listed online may change without notice and are subject to VAT at the current rate.
  5. Overdue payments may incur interest at 2% above Bank of England base rate plus a £10 late payment fee.
  6. If payment is not received, The Company may charge the payment method used for the deposit for the full outstanding balance plus any fees at its discretion.

14. Cancellations

  1. Under UK law, clients generally have 14 days to cancel an order after booking. However, due to the nature of leisure services with fixed booking dates, our hires are exempt from this cancellation right.
  2. This exemption protects The Company and other traders from loss due to limited capacity that cannot be resold if clients cancel.
  3. By booking, clients accept these terms and acknowledge cancellations with outstanding balances may result in legal action to recover monies owed.

15. Complaints and Problems

  1. If any issues arise during the event, Clients must notify The Company immediately by phone to allow time for resolution.
  2. Claims or complaints made after the hire period will not be accepted.
