Terms & Conditions
Definitions
The Client means the individual, company, or organisation making a booking or hiring equipment or entertainment services from Greenfrog Entertainments Ltd (“The Company”).
The Company refers to Greenfrog Entertainments Ltd and its trading names, including Greenfrog Entertainments, Greenfrog Events, and Greenfrog Event Hire.
Wet Hire refers to equipment or services hired where The Company operates and supervises the equipment or entertainment on behalf of the Client.
Dry Hire refers to equipment or services hired where the Client operates and supervises the equipment themselves without The Company’s staff.
1.Ordering
- By placing a booking with The Company by any method, the Client agrees to these Terms & Conditions.
- All equipment remains the property of The Company at all times.
- Online booking availability does not guarantee specific delivery times.
- The Company reserves the right to substitute items with similar alternatives and will notify the Client.
- The Client must review all relevant health and safety documentation prior to booking.
2. Delivery and Collection
- Standard delivery: 8:00 am – 12:00 pm; Collection: 5:00 pm – 10:00 pm.
- Specific timings available for venue bookings; otherwise subject to availability.
- Overnight hire is available for an additional fee; the area must be secure and lockable.
- The Client must sign to confirm acceptance of the setup. Responsibility starts from that moment.
- Access must be suitable for delivery; charges may apply for delays. (£10 per 10 minutes)
- The Client must ensure equipment is available for collection at the agreed time.
- Equipment may arrive wet/dirty due to overnight use.
- The Company's delivery team will ensure the equipment is ready for use before leaving.
3. Delays and Breakdowns
- Delivery times are approximate and may be affected by external factors.
- If equipment fails and cannot be replaced, refunds are pro-rata for that item only.
- Generator refunds apply only to the generator cost, not powered items.
- Faults must be reported immediately; equipment must not be used until deemed safe.
4. Equipment and Ownership
- All sizes/specifications are approximate.
- The Company may update product specs or substitute equipment without notice.
- Photos may be used for marketing purposes without additional permission.
- Some items may be supplied via trusted third parties.
5. Location
- Clients must ensure suitable space, surface, and access prior to booking.
- If setup is not possible, full charges still apply.
- Equipment must not be moved once installed.
- Underground services must be declared. The Company is not liable for related damage.
- Clients are responsible for security and crowd management.
6. Power Requirements
- Most equipment requires mains power via standard household plugs.
- Standard 25m extension leads are provided. Longer leads or generators must be arranged in advance.
7. Generators
- Generators must be regularly refuelled and monitored by a competent person.
- Do not allow fuel levels to drop below 25% of capacity.
- Backups are strongly recommended to ensure reliability.
- Equipment requires 16-amp connectors—ensure compatibility is confirmed.
8. Health & Safety and Supervision
- Clients must read and comply with Company and venue safety guidance.
- New restrictions after booking must be agreed in writing to avoid fees.
- Appropriate clothing (e.g., socks) must be worn to prevent friction burns.
- Inflatables must not be used if hot to the touch or in wet weather.
- Adult supervision is required at all times. Company staff can be booked for supervision only—not childcare.
- The Company may stop use of equipment for safety reasons without refund.
9. Liability and Insurance
- The Company holds £5M public liability insurance (equipment only).
- The Client must ensure public/user insurance where required.
- The company excludes any liability for injury, loss or damage - liability is with The Client
10. Weather
- The Company may cancel if high winds, snow, or rain pose safety risks.
- Refunds are issued only if The Company cancels for severe weather reasons.
- Inflatables must not be used in wind speeds above 24mph.
- Equipment must be dry before reuse following rain or cleaning.
11. Booking Fees
- A non-refundable booking fee of 15% is required for all online bookings.
- This secures your booking and is forfeited upon cancellation.
12. Payments & Balances
- Quotes are valid for 14 days from issue.
- Balance must be paid 7 days in advance of your booking date.
- Late payments incur 2% interest above the Bank of England base rate plus a £10 fee.
- The Company may charge the booking fee payment method for outstanding balances that aren't paid within the timescale.
13. Cancellations
- Bookings are exempt from standard 14-day cancellation rights due to date-specific services.
- This ensures fairness to The Company and prevents non-rebookable losses.
- Cancellations with unpaid balances may result in recovery or legal action.

14. Complaints and Problems
- All issues must be reported during the hire by phone to allow resolution.
- Post-hire complaints or refund requests will not be considered.
15. Severability
- If any part of these Terms is found to be invalid or unenforceable, the remaining sections shall remain in full force and effect.
