Terms & Conditions
1. Definitions
The Client means the individual, company, or organisation making a booking or hiring equipment or entertainment services from Greenfrog Entertainments Ltd (“The Company”).
The Company refers to Greenfrog Entertainments Ltd and its trading names, including Greenfrog Entertainments, Greenfrog Events, and Greenfrog Event Hire.
Wet Hire refers to equipment or services hired where The Company operates and supervises the equipment or entertainment on behalf of the Client.
Dry Hire refers to equipment or services hired where the Client operates and supervises the equipment themselves without The Company’s staff.
2. Ordering
- By placing a booking with The Company by any method, the Client agrees to these Terms & Conditions.
- All equipment remains the property of The Company at all times.
- Online booking availability does not guarantee specific delivery times.
- The Company reserves the right to substitute items with similar alternatives and will notify the Client.
- Clients must review all relevant health and safety documentation before booking.
3. Delivery and Collection
- Standard delivery: 8:00 am – 12:00 pm; Collection: 5:00 pm – 9:00 pm.
- Specific timings available for venue bookings; otherwise subject to availability.
- Overnight hire is available for an additional fee; the area must be secure.
- The Client must sign to confirm acceptance of the setup. Responsibility starts from that moment.
- Access must be suitable for delivery; charges may apply for delays.
- Equipment may arrive wet/dirty due to overnight use—allow drying/cleaning time.
4. Delays and Breakdowns
- Delivery times are approximate and may be affected by external factors.
- If equipment fails and cannot be replaced, refunds are pro-rata for that item only.
- Faults must be reported immediately; equipment must not be used until deemed safe.
5. Equipment and Ownership
- All sizes/specifications are approximate.
- The Company reserves the right to substitute or update products.
- Photos may be used for marketing without seeking permission.
- Some equipment may be owned by third parties.
6. Location
- Clients must ensure suitable space, surface, and access prior to booking.
- If setup is not possible, full charges still apply.
- Equipment must not be moved once installed.
- Underground services must be declared. The Company is not liable for related damage.
- Clients are responsible for security and crowd management.
7. Power Requirements
- Most equipment requires mains power.
- Standard extension leads up to 25m included; longer distances require advance notice or a generator.
8. Generators
- Dry hire generators must be monitored and refuelled by the Client.
- Backups are strongly recommended.
- 16-amp sockets/connectors are required for compatibility.
9. Health & Safety and Supervision
- Clients must read and comply with health and safety guidance.
- Inappropriate use (e.g., overheating, misuse) is not permitted.
- Adult supervision (18+) is required at all times.
- Company staff are for equipment safety only—not childcare.
- Company may stop service if safety is compromised—no refund given.
10. Liability and Insurance
- Company holds £5M public liability insurance covering equipment—not users.
- The Client indemnifies The Company against equipment damage, theft, injury, or property claims.
11. Weather
- Company may cancel for severe weather. Refunds issued in these cases.
- Inflatables must not be used in rain or winds exceeding 24mph.
- Equipment must be fully dry before reuse.
12. Booking Fees
- 15% non-refundable booking fee required for all online bookings.
- Fees are forfeited upon cancellation.
13. Payments & Balances
- Quotes valid for 14 days.
- Balance may be paid in advance or on delivery (by agreement).
- No credit terms available. Prices are subject to VAT.
- Overdue payments may incur fees and interest charges.
14. Cancellations
- Due to fixed event dates, hire bookings are exempt from 14-day cooling-off rights.
- Cancellations with balances owed may result in legal action.
- Full cancellation policy available via our website footer.
15. Complaints and Problems
- Issues must be reported immediately by phone on the day of hire.
- Post-hire complaints will not be accepted.
16. Severability
If any part of these Terms is found to be invalid or unenforceable, the remaining sections shall remain in full force and effect.
